ScanMan — Privacy Policy
Effective 08/27/2026. Last updated 08/27/2026.
Transport Logistics, Inc. ("TLI," "we," "us") provides the ScanMan mobile app for delivery drivers and warehouse staff working with freight handled by TLI. This policy explains what the app collects, why, who it is shared with, and the choices you have.
ScanMan is a commercial tool for people doing warehouse and delivery work. It is not intended for, or directed at, the general public or children.
Warehouse use and delivery use are different
ScanMan is used in two distinct roles, and they collect different things. The role is chosen during setup.
- Terminal / warehouse scanning — inbound receiving, outbound loading, and terminal document scanning. Location is not collected in this role at all. The app does not ask for location permission for terminal work and does not track terminal staff.
- Delivery scanning — driving an assigned delivery route. Location is collected during an active route, as described below.
Location data — the short version
When you are running a delivery route, ScanMan collects your device's location, including when the app is closed or not in use and your phone is locked.
Location collection starts when you scan the setup for a shipment that is part of an assigned route, and stops as soon as the last delivery on that route is recorded. The app does not collect your location before a route starts, between routes, or after the route's final delivery — including on the drive back to the terminal or wherever you go next.
While location is being collected, Android shows a notification reading "ScanMan is tracking your progress on this route!", and the app's home screen shows a Tracking indicator you can tap for an explanation.
What is recorded
Each location reading contains latitude, longitude, and the time of the reading, associated with the route you are running. Readings are taken about once a minute while the vehicle is moving, and at least once every five minutes when it is stopped. The app does not record your speed.
What it is used for
- Letting TLI dispatch see the route's progress while it is being run.
- Estimating arrival times for the remaining stops on the route.
Location data is not used for advertising, sold or rented to anyone, shared with data brokers, or combined with data from other companies' apps or websites to build a profile of you.
Limits on collection
Two safeguards limit how long tracking can run:
- Tracking ends automatically when the route's last delivery is recorded on the device. This does not depend on a working data connection.
- Tracking stops after 16 hours from the time it started, regardless of whether the route was ever completed in the app. This ceiling exists so that a route left open by mistake cannot result in open-ended tracking.
Precise accuracy
The app asks for precise (not approximate) location, because approximate location is not accurate enough to record where a delivery took place. On iOS, if you have Precise Location turned off, the app may ask for temporary precise access.
A note on how the two platforms differ
On Android, ScanMan uses a foreground service and does not request the "Allow all the time" background location permission. On iOS, the app does request "Always" location access, because that is what iOS requires to keep recording a route while your phone is locked. The data collected is the same on both platforms; only the permission the operating system asks for is different.
Everything the app collects
| Category | What | Why |
|---|---|---|
| Location | Precise latitude/longitude and timestamp — foreground and background, during an active delivery route only. Delivery role only. | Route progress for dispatch; arrival estimates for remaining stops |
| Delivery location tag | The coordinates recorded at the point a delivery is completed, stored with that delivery's record | Proof of where the freight was delivered |
| Photographs | Photos you take in the app of delivered freight, damaged cartons, pallets, and proof-of-delivery documents, with the time taken | Proof of delivery and condition; damage claims |
| Signatures and notes | Signatures captured on screen at delivery, and any free-text comments you type about a delivery | Proof of delivery; recording exceptions and delivery instructions |
| Barcode scans | Carton, pallet, BOL, and trailer barcodes you scan, with the time scanned | Tracking freight through the terminal and onto the truck; detecting mis-routed cartons |
| Work identity | Driver name, carrier/company identifier, and driver identifier entered during setup | Associating scans and deliveries with the right person and company |
| Device registration | Device manufacturer, model, operating system, and app version, sent when the device is first registered; plus a registration identifier issued by our server and stored on the device | Authorizing the device to communicate with TLI's servers; revoking access if a device is lost; supporting a mixed fleet of phones and rugged scanners |
| Diagnostics | Crash reports, error messages, a small sample of app performance data, and reports that a required permission was denied or turned off | Fixing faults; letting operations staff tell a permission problem apart from a coverage dead zone |
The app does not ask for or collect your email address, phone number, contacts, photos already in your camera roll, or any payment information.
How the camera is used
ScanMan uses your device camera in two ways: to read barcodes, if your device is set up to scan with the phone camera rather than a hardware scanner; and to take delivery, damage, pallet, and proof-of-delivery photographs on the photo screens. It does not access your existing photo library and does not record video or audio.
Bluetooth
If you use a Bluetooth barcode scanner, the app uses Bluetooth permissions to find and connect to it. This is used only for scanner connectivity and not for location or proximity tracking.
Notifications
On Android 13 and later, notification permission is required for route tracking to run at all, because the operating system requires the tracking notification to be displayed while location is being collected. If notifications are turned off, route tracking cannot start. Notifications are not used for marketing.
Who your information is shared with
- TLI staff — dispatch, operations, and warehouse personnel.
- The customer for the freight — the shipper, consignee, or broker may see proof-of-delivery documentation for their shipment, which can include the location tag recorded at the point of delivery. The route you drove is not shared with customers.
- Your carrier, where the work is performed under a carrier agreement.
- Service providers who process data on our behalf under contract. This includes Sentry, which receives crash and error diagnostics, and our hosting providers. They may not use the data for their own purposes.
- When legally required — in response to lawful requests from public authorities, to comply with law, or to establish or defend legal claims.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
How long it is kept
Different categories of information are kept for different lengths of time.
Route location readings
Deleted approximately 30 days after the route is completed. The GPS readings that make up a route are operational data rather than long-term business records, and are purged on a rolling basis.
No route location information is carried over into the permanent shipment record. Once the 30-day window has passed, TLI no longer holds the route you drove.
The location tag recorded at the point of delivery is different: it forms part of the proof-of-delivery record and is retained with it, as described below.
Photographs, signatures, and delivery records
Proof-of-delivery photographs, signatures, delivery comments, and the shipment and scan records they belong to are part of our permanent business records for the freight we move. We retain them for as long as needed to:
- meet transportation record-keeping requirements applicable to motor carriers and freight brokers;
- satisfy tax, accounting, audit, and insurance obligations;
- resolve cargo claims, billing disputes, and other legal claims, which may be brought years after delivery; and
- honor our agreements with the customers whose freight was carried.
In practice this means these records are kept for the duration of our relationship with the relevant carrier and customer and for a minimum of 5 years afterward. Some older records are retained beyond that period as part of our archived business records.
Device registration
Retained while the device remains registered to use the app. Removed when the registration is revoked or the app is uninstalled and the registration expires.
Diagnostic and crash data
Retained by our diagnostics provider for a limited period, typically 90 days, and then deleted.
When information is no longer needed for any of the purposes above, we delete it or de-identify it so it can no longer be linked to you.
Your choices
- Location permission. You can grant, limit, or withdraw location access at any time in your device's Settings. Withdrawing it does not stop you from scanning or completing deliveries, but route progress will not be visible to dispatch and arrival estimates will not be available.
- Camera permission. Can likewise be withdrawn in Settings. Without it, the app cannot take delivery or proof-of-delivery photographs, and cannot scan barcodes if your device uses the phone camera as its scanner.
- Notification permission. Can be withdrawn in Settings. On Android 13 and later this will stop route tracking from running, for the reason given above.
- Uninstalling the app stops all collection.
Your rights
Depending on where you live, you may have the right to access, correct, or delete personal information we hold about you, to obtain a copy of it, or to appeal a decision we make about such a request. Residents of Texas, California, and other U.S. states with comprehensive privacy laws have these rights under those laws.
To make a request, contact us at info@translogistics.com. We will verify your request before acting on it. Note that some records — including proof-of-delivery documentation and shipment history — may need to be retained to meet legal, contractual, and transportation record-keeping requirements even after a deletion request.
Security
Data is transmitted to TLI over encrypted connections. Each device is issued its own credential, which can be revoked. We use commercially reasonable safeguards to protect your information, but no method of transmission or electronic storage is completely secure, and we cannot guarantee absolute security.
Children
ScanMan is a commercial work tool and is not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. The revised version will be posted on this page with an updated effective date. Material changes affecting how location data is collected or shared will be communicated before they take effect.
